Position Summary and
Responsibilities:
The Manager of School Administration will work in the Houston office and oversee the day to day activities of the Administrative group in a manner that results in the efficient, accurate, and timely enrollment of students in the Student Information System and receipt/distribution of student records. The Manager of School Administration will work closely with the office staff and leadership team to improve processes and functions between the teams. This position requires full collaboration between and among the school, Connections Education's Enrollment Team, and Houston ISD to support daily activities and strict adherence to FERPA policies and multiple state regulations regarding record keeping.
The Manager of School Administration will be responsible for the successful completion of the following tasks:
Lead planning and implementation of the daily workflow to support enrolling, withdrawing and maintaining a large number of students with efficiency, accuracy and timely processing in the Student Information System;
Ensure that all flow of faxed, uploaded, emailed, and mailed documents are properly saved, date stamped, and coded for data entry staff;
Hire, interview, train and supervise Administrative Support Staff in collaboration with school leadership;
Set annual goals for staff based on school goals and conduct mid-year and annual performance reviews;
Provide leadership and ongoing guidance to ensure that administrative assistants are part of a both the grade level team and the office team;
Establish and maintain a team approach while maintaining individual accountability for accuracy, speed, and avoiding errors;
Build capacity within the team to problem solve leaver challenges;
Protect the privacy of students and families by following the steps set forth by Connections Academy;
Maintain current filing and data management systems and ensure support staff properly adheres to filing and records management system, maintain storage of aged files;
Ensure that special needs documentation, placement tests and report cards are forwarded to the proper departments;
Provide direction to support staff when charged with projects like mass mailings;
Adhere to the upkeep of accurate, easy to access, and up to date records for students;
Report issues related to the malfunction of office equipment including faxes, copiers, printers, computers and file cabinets;
Support the school leader and principals on a number of different tasks that emerge daily;
Served as PEIMS campus data entry contact person for Houston ISD
Answer and properly forward all incoming enrollment, withdrawal and student record issues; and
Other duties as assigned
Requirements
Bachelor's Degree preferred
3-5 years of relevant experience managing a team and work flow processes, as well as documenting receipt, and reporting functions in a student data privacy environment
The ability to drive and enhance efficiency in processes while serving as a key point of contact for administration projects and issues
Strong project management skills
Proficiency in personnel management.
Critical thinking and problem solving skills
The ability to influence and lead, while working on a team and delegating as-needed
The ability to adapt in a fast-paced work environment
The ability to work in a fast paced environment with competing priorities
