Summary:
Performs advanced professional assistant work for Executive and Sr.
Directors.
The role allows considerable latitude for initiative and independent judgment while performing complex and confidential administrative duties.
This position requires outstanding communication and interpersonal skill as the candidate is frequently the face of the organization to company leadership, customers, and representatives from the communities in which Kirby operates.
Essential Duties and
Responsibilities:
Performs Oracle user access requests Manage Audit tasks Facilitate contract management including DocuSign and maintenance of Contract Database Perform vendor setup requests Manage software renewals Create purchase orders, follow up on vendor invoicing Facilitate change control meetings Plans, schedules, and manages with detail, meetings, conferences and Thoroughly manages calendar, commitments, travel plans, etc.
Provides backup support for scheduling corporate plane and company's entertainment vessel.
Prepares and composes routine and advanced correspondence such as letters, memoranda, reports, emails, and presentations.
Establishes and maintains liaison with other departments, agencies, vendors, staff and the public; and interprets and responds to requests for information.
Responsible for maintaining an organized filing system both electronic and Organizes, prepares, and manages expense reports on behalf of Answers phones for executive floor, handles calls with discretion and screens calls as Education:
A Bachelor's degree in computer science, programming, or related field
Experience:
Two to five years of experience in senior assistant or administrative positions preferred.
Working Conditions:
Standard Office Criteria.

Monday through Friday.
