Jones Engineering Solutions Jones Engineering Solutions Houston, TX Houston, TX Full-time Full-time $22 - $25 an hour $22 - $25 an hour The Construction Administration Coordinator will be an essential member of our construction administration team, providing crucial administrative support to ensure the smooth operation of construction projects.
Your primary responsibility will be to assist in managing project documentation, coordinating communications, and facilitating the flow of information among team members, contractors, and other stakeholders.
This role requires exceptional organizational skills, attention to detail, and strong communication abilities to contribute to the successful execution of construction projects.
RESPONSIBILITIES Work closely with Field Personnel:
- Work closely with and provide administrative support to Field personnel to handle daily and weekly Field Reports in a timely manner.
- Track that Field Reports are being sent to clients in a timely manner.
- Keep updated record of field equipment inventory.
Client, Vendor and Contractor Coordination:
- Collaborate with clients, vendors and contractors on a daily basis to collect and organize necessary documents, certifications, and insurance information.
- Provide direction for questions that may arise with scheduling or invoices.
Document Management:
- Maintain accurate and organized project documentation, including contracts, permits, purchase orders, change orders, RFIs, daily logs, and other relevant records.
- Assist with keeping current subcontractor insurance and pre-qualification documentation.
- Assemble contract documents for publicly bid projects.
- Pay Applications:
Create, update and maintain accurately and in a timely manner.
Meeting Coordination:
- Schedule and organize project and pre-bid meetings and ensure all relevant parties are informed of meeting details and agendas.
Professional Administrative Support:
- Support Construction Manager with administrative tasks.
- Maintain calendar for Construction Manager and schedule/confirm appointments.
- Assist with drafting fee proposals and SOQs.
General Administrative Tasks:
Various administrative duties may include filing, answering phones, managing office supplies, and assisting with special projects as needed.
QUALIFICATIONS AND REQUIREMENTS
Experience:
5 years of experience in administrative support roles, preferably in construction or related industries.
Familiarity with construction bidding process a plus.
Ability to work on-site:
This is a full-time, on-site position with a 4-1/2 day work week.
Creative thinking, problem-solving skills, and ability to apply broad concepts to varying project tasks.
Software Proficiency:
Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams).
High proficiency using formulas and tables in Microsoft Excel.
Organizational Skills:
Proven organizational and planning techniques; multitasking abilities to manage various tasks efficiently.
Attention to Detail:
Meticulous attention to detail to ensure accurate and error-free documentation.
Communication Skills:
Excellent written and verbal communication skills to effectively interact with team members and stakeholders.
Adaptability:
Flexibility to handle changing priorities and adapt to project needs in a fast-paced environment.
Time Management:
Effective time management skills to meet deadlines and prioritize tasks with minimal direction.
Ability to prioritize projects and manage multiple projects simultaneously.
Team Player:
Ability to work collaboratively within a team and assist in achieving project goals.
