Job Purpose:
We are seeking a highly organized and experienced individual to join our team as an Auto Shop Office Manager with DOT (Department of Transportation) experience.
As the Office Manager, you will be responsible for overseeing the administrative operations of our auto shop, ensuring compliance with DOT regulations, managing the inventory and purchasing auto parts.
Your strong organizational skills and attention to detail will be vital in managing paperwork, coordinating schedules, and maintaining accurate records as the liaison between the auto shop and the accounting department.
DOT Compliance:
Set drivers up in the system and keep the electronic logs updated, as well as, reconcile gas card expenses.
Inventory Management:
Oversee and manage the inventory of automotive parts, supplies, and equipment.
Maintain accurate records of stock levels, reorder points, and replenishment schedules.
Conduct regular inventory audits to identify discrepancies and ensure accuracy.
Collaborate with technicians and service advisors to determine stock needs based on job requirements and customer demand.
Parts Ordering:
Identify parts and supplies needed for repairs and maintenance based on job requirements and customer requests.
Research and source reliable vendors and suppliers for automotive parts and negotiate favorable pricing and terms.
Place purchase orders with suppliers, ensuring timely delivery of parts and supplies.
Track and monitor order status, resolving any issues or delays with suppliers as necessary.
Coordinate with technicians and service advisors to ensure accurate and timely fulfillment of parts orders.
Collaborate with the accounting department to ensure accurate bookkeeping and financial record keeping.
Requirements:
Proven experience as an office manager, preferably in an auto shop environment.
Excellent organizational and multitasking skills with keen attention to detail.
Proficient in using office management software, including accounting and inventory management systems.
Exceptional communication and interpersonal skills.
Ability to work under pressure and meet deadlines.
Knowledge of automotive terminology and basic mechanical concepts is preferred.
Familiarity with accounting principles and financial management is a plus.
High school diploma or equivalent qualification; additional certifications or vocational training is a bonus.
