The Specialist's primary responsibilities include acting as the lead project manager for all aspects of the planning and production of the assigned events to enhance the event experience and increase both visibility and participation.
This person will work closely with relationship management and volunteer engagement partners within assigned territory.
Specialist event portfolios will be made up of several events in a specific geographical area.
The ability to manage many details, track timelines, monitor expenses, delegate effectively, empower and direct volunteers and staff during the event are essential.
Essential Functions:
Oversee the logistical planning of assigned events (85%) Drive logistical coordination to support revenue growth through well-executed event planning and implementation for each of the events.
Ensure the delivery of a mission centered, inspiring, and exceptional event experience for all participants.
Reserve and secure venue for assigned events by predetermined deadline; identify and recommend new venues as necessary Secure vendors for all events.
Maintain a focus on cost saving measures by ensuring appropriate bidding process for multi-site vendors (including rentals, communication equipment, entertainment equipment, food vendors, security) whether paid or in-kind Responsible for all elements of event safety guidelines Monitor expense budget for events and maintain accurate records of all invoices and expenses ensuring excellent stewardship of society resources.
Responsible for purchasing, packing and distribution of specified event supplies before, during and after each campaign Create and manage logistics/production timeline for all events; adhere to deadlines and communicate progress to supervisor, identifying potential roadblocks or challenges Determine and communicate on-event staff assignments in conjunction with development team partners Schedule and facilitate pre, post and on-event production meetings with appropriate staff (include volunteer engagement and production company when necessary) Completes other duties as assigned and tasks initiative for event related operations that are not covered by other staff.
Auction Item Management (10%) Submit requests for auction items, ensure timely follow up and track items through the procurement process Volunteer Engagement (5%) Partner with volunteers to accomplish our work including day of event volunteers.
Work with Volunteer Coordinator to define volunteer opportunities and ensure proper training.
Requirements:
Minimum Experience/Skills/Competencies:
Two years of related experience in event planning and execution Strong initiative with the ability to manage multiple projects with competing priorities Ability to establish and maintain strong collaborative relationships and work effectively with multiple teams Ability to adjust and maintain effectiveness in the face of multiple demands, challenges Strong organizational, planning, and prioritization skills Excellent written and oral communication skills with strong interpersonal skills Results driven with keen attention to detail Technical/Other:
Microsoft Office Suite and Outlook knowledge required.
Commitment to the mission, vision, cultural values, and expectations of the National MS Society This position will be required to drive/travel on Society business.
Candidate must possess a valid driver's license, proof of insurance and reliable transportation.
The Society does run motor vehicle checks for all positions which require driving, and the applicant must meet the Society guidelines.
Availability to work occasional nights and weekends to support events, committee meetings, etc.

Benefits:
Estimated hiring compensation range for this role is $40,000 - $50,000.
Final offers will be based on candidategeographic location and consider career experience and may vary from this range due to these and other factors.
