Job Description:
Under the supervision of the Immunization Program Manager this position works with program coordinators to review provider documentation to ensure vaccine management quality assurance practices are followed in accordance with the COVID-19 provider manual.
Work involves conferring with local health agencies, private physicians, individuals, and community action groups on vaccines and the prevention of vaccine preventable diseases.
Works in areas such as compliance with DSHS COVID-19 Provider Policy as well as the CDCs Vaccines for Children (VFC) Program requirements.
Conducts provider Quality Assurance training and Site Visits/Follow-Up Visits and Unannounced Site Visits.
Assists in the recruitment and retention of providers in the DSHS COVID-19 Provider program as well as other vaccine assistance programs and the assessment of immunization records as assigned.
Utilizes Continuous Quality Improvement techniques during professional functions.
Accounts for vaccines by compiling and tabulating data, checking documents for accuracy, handling and maintaining files.
Supports the Immunization coordinators by reviewing the CDC Provider Evaluation and Assessment Reporting (PEAR) system monthly and completing onsite Follow-up activities with individual provider sites on or before the established deadline.
This position routinely deals with a wide variety of internal and external customers, including, but not limited to, laypersons, social service agencies, local health departments, central office staff, allied health, physicians, nurses, hospitals, schools, community service groups, and child care facilities.
This position functions under agency parameters, quality standards, and protocols, and works under moderate supervision with limited latitude for the use of initiative and independent judgment.
This position trains Department of State Health Services (DSHS) Field Offices, Local Health Departments and TVFC Private Providers in Health Service Region 6/5S on the Vaccine Ordering and Allocation System (VAOS).
Required to participate in the agency's training and response to public health situations including disease outbreaks, biological, environmental, or adverse weather conditions and emergencies.
This may include but not limited to prevention, surveillance and control.
Compliance with DSHS Immunization Policy required:
serologic evidence of immunity to, or documented evidence of vaccination against, measles, mumps, rubella, varicella (chickenpox), Tdap, annual vaccination against influenza (and hepatitis B if applicable).
Essential Job Functions:
(30%)Conducts quality assurance site visits to Texas Immunization Providers Regional Public Health Clinics participating in DSHS vaccine assistance programs utilizing the CDC Provider Evaluation Assessment and Reporting system (PEAR) and Immunization Quality Improvement for Providers (IQIP) software to complete and document the visits; Follows site visit protocols; Plan visits; Prepares materials for visits; Conducts site visits following instructions and using appropriate report forms; Provides corrective action recommendations to clinical staff and Immunization program leadership.
Completes required Follow-Up activities and documents same in PEAR and IQIP to ensure that all corrective actions are taken and documents IQIP goals.
Conducts onsite Follow-Up Visits as indicated following quality assurance site visits to TVFC Private Providers conducted by TMF Quality Healthcare Institute.
Conducts Unannounced Site Visits to COVID-19 Providers other Immunization providers as indicated.
Follows site visit protocols; plan visits by phone or mail; prepares materials for visits; conducts Follow-Up and Unannounced site visits in accordance with CDC guidelines using appropriate report forms and documents site visit activities in PEAR and IQIP in a timely manner.
Conducts and documents in PEAR Unannounced Site Visits; Reports findings to the Immunization coordinator; addresses issues with the team.
30%) Ensures all vaccine orders are open in a timely manner.
Contacts Immunization providers seek clarification and provider technical assistance.
Works with staff and providers to identify needs; Provides VAOS training and technical assistance by phone.

(20%) Under the direction of the Immunization coordinators, reviews and processes Annual Provider Enrollment and Profile Forms for accuracy and completeness.
Contacts providers to clarify/correct forms as needed prior to submission to the Austin office.
Ensures all contacts with providers are properly documented in PEAR.
Performs Quality Assurance (QA) checks on provider monthly reports and enrollment files submitted to the PHR.
Reviews provider profile data, inventory and Maximum Stock levels for accuracy, offer technical assistance and advises on revisions needed.
Provides guidance to providers best practices, inventory maintenance and completion of C-33 in VAOS.
Assists with vaccine transport and provider trainings as requested by Immunization coordinators.
Promotes the use of ImmTrac Registry and assist with collecting provider coverage data as requested by Program Manager.
(10%) Works with Immunization Program staff on recruitment processes.
Monitors the Immunization Provider recruitment plan by working with Central Office staff, program staff, and local health departments/districts to identify areas of need.
Maintains the database of enrolled and potential providers that is provided yearly by Central Office in an Excel format.
Identifies potential providers.
Develops recruitment strategies.
Obtains state developed recruitment materials.
Assembles recruiting packets.
Visits potential providers.
Tracks recruitment efforts.
Conducts presentations to potential providers to provide training and technical assistance related to DSHS Immunization Program requirements and Immunization Program policies.
Enrolls new providers as requested by leadership.
Explains requirements to providers, answers questions, and clarifies issues.
Provides written protocols and information to providers.
Trains provider staff.
Works with staff to provide timely information to providers.
Works with providers and staff to ensure that all TVFC Program requirements can be implemented and adhered to.
Promotes the COVID-19 and other Immunization programs and the ImmTrac immunization registry by providing information to other programs, providers, clinics, and the public.
Produces Quarterly recruitment reports, letters, memos, forms, reports, announcements and posters using computers on the following or similar software:
MS Word, Excel, or Access.
(10%)Supports efforts to promote the Immunizations Programs, including, but not limited to, making presentations at Health Fairs, Job fairs, public schools, private schools, childcare facilities, and the general public regarding the Texas Department Of Health Immunization service and special programs.
Other duties as assigned.
Participation in community preparedness and other special initiatives.
Attend all CDC Immunization Satellite broadcast that pertains to Immunizations.
